What Information Displays on a Free Rondee Conference Call Receipt?

A user recently asked: “What type of information do you provide on those that called into a free Rondee conference call? Is it just a phone number or can you provide their name?”

We provide the date and time each participant joined the call, the phone number of each participant, and the duration of each participant. If you use our Scheduled Rondee service, the name of the participant is included in your call receipt information.

Scheduled Rondees are calendared through the Rondee website. You sign in to Rondee.com to choose the date and time for the call and enter each invitee’s email address. Rondee sends out email invitations and invitees respond on the Rondee website. Rondee keeps track of the attendance and displays the call title, agenda and responses on a page unique to that call. Rondee emails each participant a PIN code unique to him or her. When the invitee dials into the conference call and enters his/her unique PIN code, Rondee records the name of the participant tied to the unique PIN code.

What Does the Free Rondee Conference Call Greeting Say?

A user recently asked: “I am considering singing up or a free Rondee conference call account for our company conference calls. Do callers hear anything about the service being free when they call in? What exactly do they hear once the line is connected?”

When participants dial into the Rondee primary bridge (409-777-9000), they hear, “Welcome to Rondee. Please enter your PIN code and press the pound key.” After they press the pound key, they will either be told they are the first person to join the call and listen to hold music until another person joins the call or they will be connected to the person (or persons) already on the call.

Security Features for a Free Scheduled Rondee Conference Call

A user recently asked: “I need to know about security features. Is there a way to restrict who can call into a line? Like assigning individuals their own private PIN and creating a call that only allows said PINs on the call? Also, is there a measure that I can take that will automatically identify if someone new comes onto a call? So someone can’t just call in and listen without having to identify themselves?”

Our free Scheduled Rondee conference calling service will meet all of your security needs. Scheduled Rondees are calendared through the Rondee website. You sign in to Rondee.com to choose the date and time for the call and enter all of the participants’ email addresses. Rondee sends out email invitations, and invitees respond on the Rondee website. Rondee keeps track of the attendance and displays the call title, agenda and responses on a page unique to that call.   Various features can be enabled such as call recording, automated reminders, and recurring conferences.

Rondee emails each participant a PIN code unique to him or her to join the conference call. Without a unique PIN code for the conference call, an individual will not be able to join the call. You can also select your call experience sound effects for a Scheduled Rondee and control whether participants hear a chime, hear their name being announced, or simply silence, when they enter and leave the conference call.

Conducting Two Free On Demand Rondee Conference Calls at the Same Time

A user recently asked: “Can I have more than one On Demand Rondee PIN number in case I need to have two free Rondee conference calls going at the same time?”

If you need to have two conference calls going at the same time, you will need to use our On Demand Rondee service. You can create as many On Demand Rondee PINs as you need – there is no limit. On Demand Rondees are not scheduled through the Rondee website. Instead, you independently notify your invitees of the date/time, the dial-in number (409-777-9000), and all participants dial in with the exact same PIN code.

Simply sign in to your Rondee account and click the On Demand link on the left. Click the Register Another PIN button. From the Select Your On Demand PIN pop-up window, click the OK button to accept the new, system-generated PIN. If you would like to customize your PIN number to something more memorable, enter your desired PIN in the PIN field and then click the OK button. As long as the PIN has not already been taken, it’s yours. We recommend creating a longer PIN (at least six digits in length – minimum). An On Demand PIN can be up to 20 digits in length (maximum). The On Demand Conference Options page opens for your newly-created PIN. Select the general options and call experience sound effects for your new On Demand PIN. Click the Save Changes button.

Reactivating a Canceled Free Scheduled Rondee Conference Call

A user recently asked: “I canceled a free Scheduled Rondee conference call, but can I or you make it active again? The meeting time was just changed, but the meeting is still happening.”

Unfortunately, once you cancel a Scheduled Rondee it cannot be reactivated. You will need to create a new Scheduled Rondee.

Setting Up Two Free Rondee Conference Calls at the Same Time

A user recently asked: “I need to set up two free Rondee conference calls at the same time (different groups of people). Is this possible with the On Demand service? If so, do callers need an alternate number to call and/or a different PIN?”

Yes, you can do this with our On Demand service. You will need to set up a different On Demand PIN code for each meeting. Please use the primary Rondee bridge of (409) 777-9000 for both calls.

Workaround to Send an RSVP Reminder to a Free Scheduled Rondee Conference Call

A user recently asked: “My experience tells me that Rondee will automatically remind all of the invitees of my free Scheduled Rondee conference call a day or so prior to the meeting (is that correct?). I set up the meeting a month ago and we are two weeks out. I have 5 of 16 responded and I want to remind them again to RSVP. How can I prompt Rondee to resend the invite to my invitees? Or if I cannot prompt Rondeee to resend the invitation at will, what is the timing and frequency of Rondee’s “automatic reminder” system?”

There is no manual “re-send” feature for a Scheduled Rondee. However, Rondee will automatically send a reminder email one hour before the scheduled start time.

As a work-around, you can edit the Scheduled Rondee. When you edit a Scheduled Rondee, Rondee will automatically send an email to all invitees with a subject of “<HOST NAME> Has Made Changes To Your Conference Call.” When the invitee opens the email, there will be a link to the Scheduled Rondee. When the invitee clicks the link in the email, he/she will be taken to the Rondee website where he/she can view the changes to the meeting and RSVP accordingly.

When you edit a Scheduled Rondee, we recommend noting what is changing in the Message box. For example: “RSVP REMINDER: Please respond, if you have not done so already.”

Changing Your PIN Code Each Month for Free Rondee Conference Calls

A user recently asked: “Can we change our PIN code from month to month for our free Rondee conference calls? We hold a monthly call and don’t want previous month callers to access the following month’s call without permission.”

Yes, you can change your PIN code each month, if you are using our On Demand Rondee service. You can create as many On Demand Rondee PIN codes as you need – there is no limit. You can also delete old On Demand Rondee PIN codes, so no one can use them again for your conference calls.

On Demand calls are not scheduled through the Rondee website. Instead, you independently notify participants of the date/time, Rondee bridge number (409-777-9000), and PIN code. Everyone dials in with the exact same PIN code.

When you create a Rondee account, an On Demand PIN code is automatically assigned to you. You can sign in to your Rondee account and customize your On Demand Conference Options for your PIN code.

After signing in, click the On Demand link on the left. You can enable toll-free access for your PIN, activate the audio recording feature, and select the Call Experience Sound Effects upon entrance and exit from a call. You can also activate a “listen-only” PIN in conjunction with your On Demand PIN. After selecting your conference options, be sure to click the Save Changes button.

How to Receive a Call Receipt After a Free Scheduled Rondee Conference Call

A user recently asked: “I am not sure how to receive information on how many people attended my free Scheduled Rondee conference call. How do I do that?”

When you create your Scheduled Rondee, you select the Email Me Stats After the Call Finishes check box. This selection will direct Rondee to send you a call receipt via email after your call is over.

If you have an upcoming Scheduled Rondee and want to select that check box, sign in to your Rondee account and click the Scheduled link on the left. Select the upcoming Rondee and click the Edit button at the bottom of the Scheduled Rondee Invitation. In the Options section, select the Email Me Stats After the Call Finishes check box and click the Save Changes button.

When you edit a Scheduled Rondee (i.e., change the time of the meeting), Rondee will automatically send an email to all invitees with a subject of “<HOST NAME> Has Made Changes To Your Conference Call.” When the invitee opens the email, there will be a link to the Scheduled Rondee. When the invitee clicks the link in the email, he/she will be taken to the Rondee website where he/she can view the changes to the meeting and RSVP accordingly. We recommend noting what is changing in the Message box. For example: “Administrative change – date, time, and invitees will remain the same.”

If your Scheduled Rondee has completed and you did not select that check box, you can access the information by signing in to your Rondee account. Click the Scheduled link on the left and select the previous Scheduled Rondee. Click the Conference Data button at the top of the Scheduled Rondee Invitation. The Conference Data window opens and displays the names of the participants, the start date and time of the call, the duration of each participant on the call, and the phone number from which the participant called.

Sharing the Same PIN to Join a Free Scheduled Rondee Conference Call

A user recently asked: “I sent out invitations to 12 people for a free Scheduled Rondee conference call. One of the invitees sent an Outlook email with the call-in number and his assigned PIN. Is it possible for others to access the call with the same unique PIN?”

More than one person can dial into a free Scheduled Rondee conference call with the same unique PIN code. The call receipt will show the same person’s name and the phone number they dialed from. For example, if you invite John Smith and he shares his PIN with two other people that call in with the same PIN, your call receipt will list John Smith three times, but it will also show the unique phone number of each caller.
